Switching from Paper Cage Cards to Digital Colony Management
Summary
Moving from paper cage cards to a digital colony management system is more than a technology change, it is a workflow change. This guide covers how to plan the transition, enter your existing colony data, print your first QR code cage cards, and bring your team along.
Step 1: Audit Your Current State
Walk the vivarium and note: how many cages, how many animals per cage (approximate), what information is on the current paper cards, and what additional information lives in lab notebooks or spreadsheets. This tells you how much data you need to enter and what fields matter.
Step 2: Set Up Colony.care
Create your account (under two minutes). Name your first project. Configure your species, strains, and housing types. If you have existing electronic data, a spreadsheet, a database extract, import it first using the CSV import tool. For data that only exists on paper, plan a data entry schedule.
Step 3: Enter Data in Batches
Do not try to enter everything in one day. Enter one room or one rack at a time. For each cage: create the cage record, add the animals with their identifiers, strains, sexes, and dates of birth. Print QR code cage cards as you go and replace the paper cards immediately, the cage now has a live digital record.
Step 4: Print and Scan
Colony.care generates QR code cage cards from any browser, print on standard label stock. Each QR code opens the live animal record. Staff scan with any smartphone camera, no dedicated hardware. Test a few cards to confirm the QR codes scan correctly and open the right records.
Step 5: Train and Transition
Walk your team through the new workflow: scan a cage card, view the record, record an observation or a cage change. Most technicians adapt within their first session because the workflow mirrors what they already do, just faster. Keep the paper cards for 1-2 weeks as a fallback, then archive them.
FAQ
How long does the paper-to-digital transition take?
For a facility with 200-500 cages, expect 1-2 weeks of part-time data entry. Larger facilities may take longer, but the work can be distributed across staff, each person enters their own room or rack.
What if our internet goes down?
Colony.care is a cloud platform and requires connectivity. Most facilities have reliable internet. If your facility has frequent outages, discuss this with us, we can advise on redundancy options.
Can we keep paper cards as a backup?
Some facilities keep paper cards in a drawer as a fallback for the first month. After that, most find the digital records are more reliable, paper cards do not have audit trails, cannot be searched, and do not survive a coffee spill.
